
A reflection from Jade
For our January company kickoff, we relied on our own software, Agent Epoch, to plan and execute the event from end to end.
This kickoff required high-level coordination across the entire company. Our objective was straightforward: run a complex, multi-day event smoothly without the usual spreadsheets, disconnected tools, or manual overhead. Using our own AI made that possible.
We planned the entire kickoff within the platform. Because this was a private, internal event for our whole team, it was vital that the process felt seamless. Everything lived in one place: event discovery, registration, scheduling, and participation tracking.
On the planning side, Agent Epoch acted as a force multiplier. It supported the process by automatically structuring event information and maintaining consistency across every session. By allowing our AI to handle the coordination that usually takes weeks of prep, we were able to avoid scheduling conflicts and keep the planning process lean.

Although the kickoff unfolded over two days with different goals, it needed to feel like one unified experience.
Using multi-session events, we organized the kickoff as a single journey rather than a collection of individual meetings. Agent Epoch helped keep schedules and session details aligned as plans evolved, ensuring the experience remained clear for everyone. Custom branding and private event settings ensured the kickoff felt distinctly "Epoch" and secure for our team.

With the whole team expected to attend, the organizing team needed real-time visibility into participation without manual chasing.
Our bi-lateral syncs ensured that responses from Slack and calendars stayed in sync automatically, eliminating manual reconciliation. This gave us an up-to-date picture of attendance at any moment, allowing us to manage the guest list for this private event without needing to send a manual "Are you coming?" reminders.

Company-wide communication can easily become noisy. Using Epoch, we sent targeted invitations to our specific internal distribution lists. Agent Epoch managed the timing and consistency of updates, ensuring everyone had the right links and details at the right time, reducing the usual flurry of last-minute Slack clarifications.
During the kickoff, Epoch supported execution in the background. We used attendance tracking to understand participation across the team and used the platform to host resources like recordings so everyone could revisit key moments.
Once sessions concluded, we used templates to gather feedback. The results flowed directly into our insights dashboard, giving us immediate visibility into how the sessions landed

Using Agent Epoch allowed us to run our kickoff at scale without unnecessary manual coordination. The platform handled the logistics in the background, so our focus stayed on our people.
